Textbook Distribution and Return Procedures

 

 

Textbook Scanning Program

The SASI-XP textbook scanning program is designed to scan books in and out to individual students or staff members. Any book not returned will be charged to the person whose name it was scanned out to. All books should have a bar code on the binding, front or back of the book.

 

 Requesting Books

A book request card must be filled out and approved by the Department Chairperson. Approval by Department Chairperson does not guarantee that the book is available, only that the book is being used in the proper class/grade level. Book request cards may be submitted to the Book Room one week prior to the start of a track. Book cards must be filled out with the following information: the title number of the book (1st 4 digits of the bar code) and the period(s) for which you will be using each title you are requesting.

 

At the beginning of the semester, teachers requesting four titles or more must give us one card marked "Priority."  We will issue those titles first, allowing us to expedite all orders and assure that all teachers have at least one title to work with at the beginning of a mester.

 

 Receiving/Picking Up Books

You will receive the following print-out from the Book Room upon picking up your textbooks: a class roster with the student's name,  birth date, title of book, and most important, the book number which the computer has assigned to that particular student.  Issue books to students immediately, or during the same period that you pick books up, and have the student sign the printout next to their name. If there is a discrepancy in the number of books you received and the printout, please notify Book Room Staff immediately.

 

The printout/textbook roster is to be kept in the teacher's roll book, this same roster will be used to check books in and turned in to the Book Room before going off track. Please return any unclaimed books to the Book Room the same day that the books are received.  Do not keep any unassigned books in your classroom or reissue to another student, this must be done by the Book Room Staff in order to keep accurate records of textbooks issued.  Students who are absent on the day of book distribution should be sent to the Book Room to be issued a book.

 

Please have the student note on the back of the printout any damage or graffiti in the book. If the book is badly damaged, please send the student to the Book Room to exchange the book. When the book is returned, teachers should check to be sure the book is in the same condition as it was when issued. If the book is damaged, the teacher should bring the book to the Book Room and notify Book Room Staff. Damages will be entered into Textbook Management Computer System and the student will be charged.

Check Outs:

Any student checking out must return books to the Book Room. Book Room staff will scan the books in and clear the student. Do not keep books belonging to students who are no longer enrolled in your class.

 

 

Returning Books -End of Mester

When collecting books, be sure to check that the book number is the same number that the student was issued. All books must be checked for damages. There should be no writing, marking or graffiti on the outer pages of the book. Books that have been damaged should be sent in separately with notes stating damage. Students should initial to the right of the book number on your textbook list. This verifies that their book was returned to you.  Textbook lists must be turned in to the Book Room at the end of the semester where they will be kept on file

 

Please sign up in the Main Office for return of textbooks.  A sign-up sheet is posted on the Main Office bulletin board one week prior to the end of a track.  It is important that you return your books during the period for which you've signed up. This will prevent over crowding in the Book Room and allow Book Room staff to effectively scan in books and properly credit students and staff.
